About the Program

 

The purpose of the Science, Mathematics, and Research for Transformation (SMART) Scholarship for Service Program is to produce the next generation of highly skilled DoD science and technology (S&T) leaders. SMART is a scholarship for service program that provides academic funding to undergraduate, graduate, and doctoral students who have demonstrated ability and special aptitude for exceling in STEM fields.  In exchange, students complete a period of full time employment with the DoD where they are provided opportunities to further their work and research in civil service roles.  The result is that the SMART Program strengthens the DoD by placing high performers into civilian STEM positions thereby enhancing specific facility mission delivery. 

 

About the Position

 

 Act as main POC for SMART Scholarship Program Scholars who are sponsored by a Navy facility. Guide and monitor scholars throughout their tenure in the program to ensure all program requirements are met by providing day-to-day support.

Responsibilities

Scholar support, communication, and coordination

  • Assist with the resolution of scholar issues
  • Provide and confirm documentation of program requirement completion to facilitate scholar hiring
  • Educate scholars regarding performance and behavior expectations while on internships and employment with the DoD.
  • Ensure documentation such as transcripts, educational work plans, and program reports are completed and submitted to SPO as required
  • Track and monitor key program elements such as scholar graduation dates, award completion dates, and service obligation status
  • Update student program data using databases and spreadsheets
  • Field phone calls, email, and other correspondence from potential applicants and answer their questions regarding the SMART program
  • Assist scholars in drafting required forms and documentation necessary for the administration of their awards

Stakeholder support and coordination

  • Coordinate and stay engaged with the hiring process of scholars, assisting SF with hiring issues
  • Coordinate with service Liaisons to facilitate communications with Navy SFs

Programmatic Support

  • Maintain suspense files to ensure timeliness of actions and follow up on suspense dates to ensure that required actions and responses are made within deadlines
  • Attend meetings and draft meeting materials such as graphs, charts, tables, and written material related to meeting topics
  • Participate in regular and ad hoc meetings
  • Respond to service specific data calls with quick suspense requirements
  • Answer routine requests for information such as status of reports, suspense dates for matters requiring compliance, and similar information readily available from files in a timely and accurate manner
  • Prepare program status reports and keep senior staff informed of status, pending activities, and issues needing attention based upon program requirements
  • Forward incoming information to appropriate team members for action in timely manner
  • Recommend improved program systems

Qualifications

  • Bachelor’s degree
  • Minimum 3 years of experience in administrative, academic, customer service, or related field
  • Must possess excellent written and verbal communication skills, customer service skills, and be proficient in Microsoft Office Suite
  • Ability to work well in a dynamic and fast-paced team environment while continually meeting strict deadlines
  • Must be at least 18, and a citizen of the United States of America
  • Ability to speak, read and write fluent English

 

Preferred:

  • Federal and/or Department of Defense experience
  • Experience working in an academic environment
  • Proficient in Adobe Acrobat Professional
  • DoD Clearance
