About the Program

 

The purpose of the Science, Mathematics, and Research for Transformation (SMART) Scholarship for Service Program is to produce the next generation of highly skilled DoD science and technology (S&T) leaders. SMART is a scholarship for service program that provides academic funding to undergraduate, graduate, and doctoral students who have demonstrated ability and special aptitude for exceling in STEM fields.  In exchange, students complete a period of full time employment with the DoD where they are provided opportunities to further their work and research in civil service roles.  The result is that the SMART Program strengthens the DoD by placing high performers into civilian STEM positions thereby enhancing specific facility mission delivery.

 

About the Position

 

Support DoD agencies that do not fall under the category of Air Force, Army, or Naval (Other DoD) by coordinating between the agencies and SMART Program, disseminating information, managing the selection process, resolving issues, facilitating the hiring process, and ensuring bi-directional communication.

 

Act as the main point of contact for SMART Scholarship Program Scholars who are sponsored by DoD agencies that do not fall under the category of Air Force, Army, or Naval (Other DoD).  Guide and monitor scholars throughout their tenure in the program to ensure all program requirements are met by providing day-to-day support.

Responsibilities

 

 Service Liaison for Other DoD Agencies

  • Promote SMART within the services to include site visitations, conducting briefings at all levels of leadership, updating and informing sponsoring facilities (SF) on program policy and best practices
  • Provide support, resources and direction to SF POCs to implement SMART within the organization and remain a direct link to the program
  • Help SFs establish procedures and guidelines to manage their program by providing interface support, ensuring consistency across facilities and services
  • Help manage the selection process for the DoD agencies
  • Develop and implement a targeted marketing plan to ensure all associated labs, systems commands and program offices within “Other DoD Agencies” are made aware of the objectives of the program
  • Ensure communications flow bi-directionally between Program Manager, SMART Program Personnel, and the DoD Agencies
  • During the internship phase; educate and help mentors and SF POCs understand their roles and responsibilities

Scholar Coordinator for Other DoD Agencies

  • Assist with the resolution of scholar issues
  • Coordinate and stay engaged with the hiring process of scholars, assisting SF with hiring issues
  • Provide and confirm documentation of program requirement completion to facilitate scholar hiring
  • Educate scholars regarding performance and behavior expectations while on internships and employment with the DoD.
  • Ensure documentation such as transcripts, educational work plans, and program reports are completed and submitted to SPO as required
  • Track and monitor key program elements such as scholar graduation dates, award completion dates, and service obligation status
  • Maintain suspense files to ensure timeliness of actions and follow up on suspense dates to ensure that required actions and responses are made within deadlines
  • Attend meetings and draft meeting materials such as graphs, charts, tables, and written material related to meeting topics
  • Draft reports, presentations, and other written material
  • Update student program data using databases and spreadsheets
  • Recommend improved program systems
  • Field phone calls, email, and other correspondence from potential applicants and answer their questions regarding the SMART program
  • Assist scholars in drafting required forms and documentation necessary for the administration of their awards

Programmatic Support

  • Participate in regular and ad hoc meetings
  • Respond to service specific data calls with quick suspense requirements
  • Answer routine requests for information such as status of reports, suspense dates for matters requiring compliance, and similar information readily available from files in a timely and accurate manner
  • Prepare program status reports and keep senior staff informed of status, pending activities, and issues needing attention based upon program requirements
  • Forward incoming information to appropriate team members for action in timely manner

 

Qualifications

Required:

  • Bachelor’s degree
  • Minimum 3 years of experience in administrative, academic, customer service, or related field
  • Must possess excellent written and verbal communication skills, customer service skills, and be proficient in Microsoft Office Suite
  • Ability to work well in a dynamic and fast-paced team environment while continually meeting strict deadlines
  • Must be at least 18, and a citizen of the United States of America
  • Ability to speak, read and write fluent English

 

Preferred:

  • Federal and/or Department of Defense experience
  • Experience working in an academic environment
  • Proficient in Adobe Acrobat Professional
  • DoD Clearance
