Overview

LMI is a not-for-profit mission focused, government consulting firm, dedicated exclusively to advancing the management of the government. We are currently seeking an Executive Assistant and partner to two Service Line (SL) leaders based out of our Tysons, VA headquarters. LMI’s Service Lines are lines of business for LMI that focus on delivering exceptional consulting solutions and well-qualified project teams to our government customers.  This role will report to the Service Line leaders.   This role will provide a full range of executive assistance and administrative functions, meeting planning, invoices and other business processes.

Responsibilities

  • Proactively manage multiple executive-level calendars to ensure daily and long-term priorities are met in a fast-paced and frequently changing environment, and work well under deadlines.
  • Advantageously and strategically schedule internal and external meetings in accordance with a time agenda and strategy set by our Service Line executives. Using Microsoft Outlook, work with clients at all levels, use ServiceNow for visitor needs and be able to work the full spectrum of meeting planning.
  • Support travel needs of the SL leads: develop itineraries, make reservations, coordinate with internal/external individuals and groups, prepare and reconcile expense authorizations/reports.
  • Prepare and finalize written materials, including letters, minutes, presentations, and reports requiring special formats.  Produce charts and other presentation materials.  Review, proofread, and edit materials to ensure they are grammatically correct, factual, and in approved format.
  • Coordinates speaking engagements including tracking requests, coordinating logistics, and editing presentations.  
  • Assists in coordinating the agenda of the Management team meetings, All-Hands and off-sites.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on action items to successful completion, often with deadline pressures.
  • Simultaneously plan, organize, implement and monitor progress and metrics on multiple short and long-term projects, to include executive-level event planning. These projects may be in support of employee engagement, workforce management, business strategy and growth, innovation efforts, or other areas of importance to the Service Lines.
  • Prioritize work and independently seek out relevant information. 
  • Compile and provide data for reports and projects that may include monthly operations and pipeline reviews. Communicate insights that will benefit Service Lines business, strategy, and workforce.
  • Interact with the Board of Directors, Senior Leadership Team, and third parties with whom the SL leaders transacts business. Translate Service Line opportunities and issues into needs from third parties; communicate these needs and work with third parties to address them.
  • Extensively use Microsoft Office Suite: create spreadsheets using Excel, prepare and edit PowerPoint presentations, use Word to edit and proofread documents.
  • Comfortably use and adapt to communication technologies like Zoom, Microsoft Teams, VTC units, LiveStream presentations, etc.
  • Partner with and provide back-up support, when needed, to all LMI Executive Assistants.
  • Attend and support department, project, and team meetings and serve as a resource to the SL department team.
  • Manage multiple projects, take on new responsibilities, autonomously provide solutions and assistance, and handle unanticipated issues.

Qualifications

• Bachelor's degree or higher preferred.
• 5+ years of experience as an Executive Assistant in a business environment required. C-suite experience is preferred.
• Strong time management skills and ability to coordinate and prioritize projects and assignments with little supervision. Must be self-directed and detail oriented in completing assigned projects and tasks.
• Strong interpersonal and listening skills; the ability to think ahead, take initiative, and stay up-to-speed with constantly shifting priorities.
• Excellent communication skills required. Ability to compose, write, edit, and proofread a variety of internal and external general business correspondence, memoranda, proposals, presentations, and management reports essential.
• Strong proficiency with word processing, presentation, and basic spreadsheets. Experience with Microsoft Office programs such as Excel and Power Point required.
• Maintain regular, punctual attendance.
• Strong service orientation providing prompt, courteous, and professional service. Serve as liaison between SL leads and LMI staff.
• Strong attention to detail.
• Able to contribute to a professional work environment by demonstrating integrity, promoting teamwork, and fostering positive communication while balancing team priorities.
• Able to build and maintain professional relationships throughout the organization.
• Able to work effectively in a deadline oriented environment is essential.
• Able to maintain familiarity with current LMI policies and procedures.
• Experience in working with highly confidential information and situations. Able to maintain absolute confidentiality and discretion in all matters required.
