Overview

LMI is seeking a skilled Scholar Coordinator to support the Science, Mathematics, and Research for Transformation (SMART) Scholarship for Service Program.  A successful Scholar Coordinator has strong administrative, communication, and organizational skills, and is able to handle competing priorities within demanding suspense timelines.  The Scholar Coordinator is the main point of contact for SMART Scholarship Program Scholars, guiding and monitoring them throughout their tenure in the program to ensure all program requirements are met.

 

The purpose of the Science, Mathematics, and Research for Transformation (SMART) Scholarship for Service Program is to produce the next generation of highly skilled DoD science and technology (S&T) leaders. SMART is a scholarship for service program that provides academic funding to undergraduate and graduate students who have demonstrated ability and special aptitude for exceling in STEM fields.  In exchange, students complete a period of full-time employment with the DoD where they are provided opportunities to further their work and research in civil service roles.  The result is that the SMART Program strengthens the DoD by placing high performers into civilian STEM positions thereby enhancing specific facility mission delivery.

Responsibilities

  • Scholar support, communication, and coordination
    • Assist with the resolution of scholar issues
    • Provide and confirm documentation of program requirement completion to facilitate scholar hiring
    • Educate scholars regarding performance and behavior expectations while on internships and employment with the DoD.
    • Ensure documentation such as transcripts, educational work plans, and program reports are completed and submitted to SPO as required
    • Track and monitor key program elements such as scholar graduation dates, award completion dates, and service obligation status
    • Update scholar program data using database
    • Field phone calls, email, and other correspondence from potential applicants and answer their questions regarding the SMART program
    • Assist scholars in drafting required forms and documentation necessary for the administration of their awards
  • Stakeholder support and coordination
    • Coordinate with Component Liaisons regarding the hiring process of scholars
    • Coordinate with Component Liaisons to facilitate resolution of scholar issues
    • Coordinate with Component Liaisons regarding internships
  • Programmatic Support
    • Maintain suspense files and follow up on suspense dates to ensure that required actions and responses are made within deadlines
    • Attend meetings and draft meeting materials such as graphs, charts, tables, and written material related to meeting topics
    • Participate in regular and ad hoc meetings
    • Respond to data calls with quick suspense requirements
    • Prepare program status reports and keep senior staff informed of status, pending activities, and issues needing attention based upon program requirements
    • Forward incoming information to appropriate team members for action in timely manner
    • Recommend improved program systems

Qualifications

MINIMUM

  • Minimum 3 years of experience in administrative, academic, customer service, or related field
  • Must possess excellent written and verbal communication skills
  • Must possess excellent customer service skills
  • Proficiency in Microsoft Office Suite
  • Ability to work well in a team environment
  • Ability to work well in a dynamic and fast-paced environment while continually meeting deadlines
  • Must be a citizen of the United States of America
  • Must be at least 18 years of age
  • Ability to speak, read and write fluent English

DESIRED

  • Bachelor’s degree
  • Federal and/or Department of Defense experience
  • Experience working in an academic environment
  • Proficient in Adobe Acrobat Professional

Target Salary Range: $65,000-$80,000
